This policy explains what information BookNippon collects when you use our reservation concierge service, how we use it, who we share it with, and the choices you have. We collect only what we need to make your reservations.
01Who we are
BookNippon is an English-language reservation concierge service covering reservations all over Japan. For any privacy question, contact us at hello@booknippon.com.
02Information we collect
We collect only the information needed to arrange your reservations, which you provide when you message us:
- Contact details — your WhatsApp or LINE identifier, and any email you give us.
- Booking details — the venue, dates and times, party size, the name for the reservation, and any requests such as dietary needs or seating preferences.
- For nightlife reservations — nationality and Japanese-language ability, where you choose to share them, so we can confirm a venue will welcome you.
- Payment — processed by our third-party payment provider. We do not collect or store your full card number.
We also collect basic, non-identifying website analytics (see section 8).
03How we use your information
- To contact venues and arrange, confirm and manage your reservations.
- To communicate with you about your booking.
- To request and process payment after a reservation is secured.
- To keep records of bookings and to handle any disputes.
04Who we share it with
We share only the minimum necessary, and we never sell your personal information. Recipients are limited to:
- Venues — typically just the booking name, party size and arrival time.
- Our payment provider — to process your fee securely.
- The messaging platforms you choose to contact us through (WhatsApp, LINE), under their own privacy policies.
- Authorities, only where required by law.
05International transfers
To deliver the service, your information may be processed in Japan and the countries where our service providers operate. By using the service you understand your information may be handled outside your home country.
06How long we keep it
We keep booking records for as long as needed to provide the service, to keep reasonable business and financial records, and to resolve any disputes. You may ask us to delete information we are not required to retain.
07Your rights and choices
You may ask us to access, correct, or delete the personal information we hold about you. Contact us at hello@booknippon.com and we will respond within a reasonable time. You can also stop sharing information at any point by ending the chat — though we may then be unable to complete a reservation.
08Cookies and analytics
This website uses privacy-respecting analytics to understand traffic and improve the site (for example, which pages visitors view). These tools may set basic cookies or collect anonymised usage data. They are not used to build advertising profiles of you.
09Children
Our service is for adults. It is not directed to anyone under 18, and nightlife reservations require all guests to be 18 or older. We do not knowingly collect information from minors.
10Security
We take reasonable steps to protect your information, and payment is handled by a secure third-party provider. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11Changes to this policy
We may update this policy from time to time. The "Effective" date above shows the latest revision. Material changes will be reflected here.
